I hesitate to reply to a two year old thread but I had thought about this sort of use before and this post might be useful for someone who searches on this later. I would say don't do it. In my case (as an individual rather than a company or institution) it would be an enormous project that would take far more effort than would ever be gained by the usefulness of the information. And there are other limitations as well.
But, if you really want to use XY for this, create a folder called something like "Offline" and create a text file or spreadsheet for either each media type (e.g. books) or each subject (e.g. family) and populate those files with your relevant info. You can even create a single spread sheet with tabs for each category.
I think that any collection management tool out there is essentially a customized database anyway and you could also implement your requirements with a general database tool. But using XY with tags and columns to do what you want would be result in an interface that is not that easy to use and a presentation that might make actually file management very cluttered as well.
I could be wrong, but that's my two cents on this.
