The action cannot be completed because the other application is busy
I get this very frequently only when using XYplorer, and it is becoming a major nuisance, as I can only close the box if I use Task Manager to end process of XYplorer
What can I do to stop it?

It happened to me sometimes. I never paid much attention to it because I knew I was doing something wrong in my workflow, kind of previewing an opened media file or something like that (sorry, I cannot remember exactly). But yeah, killing XY is a pita. I'll keep my eyes open so to find a reliable way to repro this behaviour, if necessary.

I do actually see this messagebox a few times a week. It's only a minor annoyance given that, in my case, as mentioned, it only happens a few times a week, and unlike the original poster, it only lasts maybe 5-10 seconds, but I do see it. It always happens doing one activity, too (though as mentioned, not consistently at all, which I am well aware for professional reasons sucks royally to fix). That activity: opening a media file in Winamp (when Winamp isn't already open). Every once in a while, instead of opening the file immediately, xyp informs me of the above-mentioned fact for a handful of seconds, then fixes itself and opens the file.

Me? No, it's the regular "invoke this file's default behavior" action, whatever that action is for Winamp (I'm at work, so I can't look up what the action is, but that's where I see it.

Here is a reason it has happened to me on occasion. Might be related. :eh:
Open dual pane and open a USB drive tab in pane 2. Copy a file to the USB, use a file on it, whatever.
If I close pane 2 without closing the USB drive tab 1st and try to eject the USB drive with the 'Safely Remove Hardware' in the system tray I'll get a pop-up saying it is in use.
Re-opening pane 2 and closing the tab for the USB drive clears the problem.

Once the warning appears the whole program locks up so am unable to try anything, but it is obvious the program is doing something behind the scenes, so is unable to perform any other job. I have 32Gb of Memory so no problem there.
I have forced the situation again today, when trying to access a very large sub folder (contains approximately 800gb of files) the blue ring starts as if it is indexing, or searching, but just goes on and on. If I try to do anything else, "the action cannot be completed" warning appears, and all freezes so can't even close the program normally. Then its back to TM and end process.
Hope this could be a clue to the original problem!

Might be related to auto-refresh. Can you repro it with auto-refresh off?

I switched off auto refresh, as you suggested, (and removed it from the icon bar) which allowed me to open the folder, but now I still have the same problem when right clicking any folder, or hard drive icon. ie blue circle, and action cannot be completed warning if I try any other operation, including attempting to minimise or close the program. I waited 20 minutes for the blue circle to stop, but it didn't. Only escape is to end process!

Could you please do one more test: Also untick all three checkboxes under Configuration | Controls and More | Auto-Complete Path Names.

That seems to have sorted out the problem, must have been one of those settings.
